Overview
This role is for an individual to oversee and assist in the lifecycles (onboarding, offboarding and tracking) of our organization’s IT subscriptions, assets and vendors along with their associated processes.
This includes identifying and tracking all subscriptions, optimizing their usage and costs, and collaborating with key stakeholders across our lines of business for these services. This person is responsible for helping the organization maximize its software investments while mitigating financial, security, and operational risks.
Responsibilities
- Work with the various IT departments, internal operations, and other business stakeholders to identify Vendors, SaaS applications and their associated onboarding processes and document this information.
- Build a transparent and constantly updated inventory of SaaS instances, counts and customer utilization that will be available to department heads and cost center owners and internal operations for invoicing and reconciliation.
- Plan documentation on how to evaluate, integrate, and govern the newly adopted IT best practices for SaaS application adoption, license provisioning, and associated user onboarding and offboarding.
- Evaluate and monitor SaaS applications aiming to reduce any redundancy and bring out the cost-effectiveness of these applications
- Build a collaborative evaluation process to evaluate past performance and utilization along with planning for upcoming renewal dates.
- Create ongoing partnerships with our individual Vertical Directors, assisting in the planning, tracking and overseeing of timely onboarding, offboarding and tracking of these services within their customer base.
- Help teams find the most effective SaaS tools to increase business growth, including Marketing, HR, Finance, and IT.
- Assists teams to evaluate both existing and new applications to ensure value utilization.
- Establish a system of records for items related to Asset Management, their tracking and associated processes for both customer-facing and internal processes/departments including our Depot Services Operations.
- Directly interacting with vendors during renewals, issues and/or enhancements to these services.

- High school diploma (Required)
- Associate’s degree or higher in IT relevant discipline (Preferred)
- Three years of IT-relevant experience (Preferred)
- Able to work traditional business hours and nights/weekends as needed. Able to work at multiple client sites and remotely as needed.

Physical Demands
While performing the duties of this job, the employee is regularly required to talk, hear, and see. The employee will be required to sit for long periods of time and the employee will be spending 90% of their time on a computer. The employee will occasionally lift, push, or move up to ten pounds.
Work Environment
The noise level in the work environment is usually moderate.
